Before
Security teams would need to identify active users, obtain the necessary mailbox authorization, and configure or refresh monitoring for each mailbox individually. They would also need to repeat the stop-and-reconfigure sequence as monitoring channels required maintenance before notifications could reach downstream analysis.
How it works
- On a schedule, retrieve the active, non-suspended users in the configured domain.
- For each user, generate the required authorization, stop the existing mailbox watch, and configure a refreshed inbox watch.
- Route the resulting mailbox notifications through the configured Google Pub/Sub topic to the downstream security flow.
Workflow details
- Scheduled user discovery: On each scheduled run, the workflow retrieves active, non-suspended users from the configured organization domain so mailbox coverage can be maintained across the user population.
- Per-user preparation: It processes each user individually, defines the required mailbox access scope, and generates an impersonated authorization token for that user's mailbox.
- Watch reset: Before creating the current monitoring configuration, it stops the existing mailbox push-notification watch for the user, allowing the channel to be refreshed cleanly.
- Inbox monitoring: It creates or updates a mailbox watch limited to inbox messages and associates that watch with the configured Google Pub/Sub topic.
- Downstream security handoff: The maintained topic can push mailbox notifications to a principal flow through a webhook, supporting continuous email analysis and subsequent security checks without requiring users to report suspicious messages manually.
What changed
Mailbox monitoring is now refreshed automatically on a schedule for every active user returned by the directory lookup. The stop-and-go maintenance sequence and the handoff to the notification topic occur without per-user setup, leaving downstream flows to process the resulting mailbox notifications.
Work removed
Manually listing active users, generating mailbox authorization, stopping existing mailbox watches, recreating inbox monitoring watches, and connecting each mailbox watch to the notification topic.
Expected outcome
Each scheduled run maintains inbox monitoring for every active user while automating at least three recurring mailbox actions per user—authorization, watch termination, and watch creation—with no measured customer-performance claim implied.
