Before
An administrator likely had to retrieve active users manually and create a separate sheet for each person. They also had to enter the same headers, apply formatting, and adjust column widths repeatedly for every new sheet.
How it works
- Retrieve active users from the configured organizational unit after the email trigger starts the workflow.
- Create a dedicated sheet for each processed user and name it using the user's primary email address.
- Apply the standard headers, visual styling, column colors, and widths before moving to the next user.
Workflow details
- User retrieval: When an email-triggered request starts the workflow, it retrieves active users from the configured organizational unit, using a defined result limit and directory filter.
- Individual sheet creation: The workflow processes the returned users one by one and creates a dedicated grid sheet named after each user's primary email address.
- Header standardization: Each new sheet receives a consistent set of headers for message ID, recipient, subject, date, size, snippet, and attachment name when applicable.
- Visual formatting: The automation applies background colors, borders, bold header styling, centered alignment, and distinct formatting to selected columns so every sheet follows the same layout.
- Column sizing: It sets wider dimensions for the selected columns and standard dimensions for the remaining columns, with a brief wait between updates to help avoid request throttling.
What changed
User-specific spreadsheet sheets are now created and formatted automatically after the workflow is triggered. Every processed user receives the same predefined structure and visual layout without requiring a person to perform the setup sheet by sheet.
Work removed
Manually reviewing the active-user list, creating a sheet for each user, naming each sheet, entering repeated headers, applying colors and borders, centering and bolding header content, adjusting column widths, and spacing out updates to avoid throttling.
Expected outcome
One consistent user sheet is prepared per processed user, removing roughly five or more recurring spreadsheet setup actions from each creation cycle.
