Before
An onboarding owner would likely read the incoming request, extract the employee's details, create accounts across several systems, look up and assign the correct access group, and invite the employee to the collaboration workspace. They would also need to handle team-specific account setup, prepare a status update, and separately decide whether to send the employee the temporary password.
How it works
- Receive the onboarding email, extract the employee and role details, map the role to a team, and generate the professional identity and temporary password.
- Create the core directory account, find the matching identity provider user and group, assign access, invite the employee to the collaboration workspace, and provision the password-management account and applicable team tool.
- Notify the onboarding owner with a setup summary and an approval choice for sending the temporary password to the new employee.
Workflow details
- Onboarding intake and data extraction: The flow starts when an email containing onboarding information arrives. It extracts the employee's full name, first name, last name, personal email address, role, and a professional email address, then maps the role to the Engineering, Legal, or Sales team.
- Core identity provisioning: A temporary password is generated, and a new account is created in the organization's primary directory. The workflow then looks up the corresponding identity provider user and team group before assigning the employee to the appropriate group for access control.
- Workspace and credential setup: The employee is invited to the company's collaboration workspace and provisioned as a member in the password-management system. For team-specific onboarding, the workflow creates an additional GitHub user for Engineering or a HubSpot user for Sales.
- Completion reporting and decision point: The onboarding owner is identified from the email sender, and a summary is posted to a collaboration channel with the employee's account, group, workspace, password-management, and team-specific setup details. The message also presents a choice about whether to send the employee their temporary directory password.
- Welcome communication: When the owner chooses to send the password, the workflow emails the new employee a welcome message containing the temporary password and instructions to change it at first login, then reports that the onboarding email was sent in the existing channel thread.
What changed
A single onboarding email now starts the provisioning sequence and applies the role-based group assignment and team-specific account actions automatically. The owner receives a consolidated completion message in the collaboration channel and retains a decision about whether the temporary password is emailed to the new employee.
Work removed
Reading onboarding emails for employee details, creating directory and identity-provider accounts, looking up and assigning access groups, inviting employees to the collaboration workspace, provisioning password-management and team-specific accounts, assembling completion updates, and manually sending the temporary-password welcome email.
Expected outcome
Conservatively, the flow can remove at least five separate account, access, notification, and handoff actions from each onboarding event while providing a consistent setup summary and optional password delivery.
